/ 04 — Voice Deflection & Callback

The call you could not take.

Every missed call gets a message back within seconds, asking what they needed and booking them if it can.

asks you to ring them back

/ Why this matters

Someone who rings has already decided.

A missed call is unlike every other enquiry you get. The person is not browsing and not comparing — they picked up a phone, which is the highest-effort thing a customer does. That is why calls convert better than any other channel, and why losing one costs more than losing a DM.

It is also the only enquiry that leaves no record of what the person wanted. Just a number and a timestamp.

Why the callback has to be fast
  • The lead-response research that governs forms and DMs applies here too: contact odds fall roughly 100× between five minutes and thirty.
  • A caller who does not reach you has an obvious next action — ring the next business on the list. There is no equivalent friction to a DM sitting unread.
  • Because the call left no content, the callback has to do the work the conversation would have done: ask what they needed, and offer the next step.

What it costs you now

  • One front desk, two customers — the one on the phone and the one in the chair. The phone loses.
  • They call once. They do not call twice. They call someone else.
  • You see the missed call at closing time, too late to ring back.
  • No name, no request, no context — so even when you do call back, you are starting cold.

What changes

  • Every missed call gets a message back within fifteen seconds.
  • It asks what they needed, and books them if it can.
  • You get the ones worth calling yourself, with context already gathered.
  • Landline callers who cannot receive a message are flagged for a human callback instead of vanishing.

/ Watch it work

Three missed calls, three different endings.

One recovered, one escalated to a person, and one the agent deliberately does not touch.

Text back in

Illustration, not a live feed. Scene one: an 11:12 AM missed call gets a text back in eleven seconds, the caller asks about Sunday hours, and the agent holds a jacket for them. Scene two: a 3:40 PM missed call turns out to be a third damaged delivery, which the agent refuses to handle over text and escalates for a callback within the hour. Scene three: a missed call from a landline, which is flagged for a human to ring back and never auto-texted.

/ How it works

The fifteen seconds, and the four ways it goes wrong.

Trigger
Your phone system reports a missed call. No app to open, no button to press.
Message
A WhatsApp or SMS goes out before the caller has decided who to try next. Short, no apology paragraph, no "your call is important to us".
Ask
One question: what did you need? Answering it is a single tap or a sentence.
Book or escalate
If it can book them, it does. If the request needs you, it hands over with everything gathered.
Too slow
A callback an hour later reaches someone who has already booked elsewhere. Speed is the entire product here.
Too robotic
If it reads like an autoresponder it gets ignored like one. And there is always a visible path to an actual person.

/ What it's worth

Your numbers, not ours.

Most owners underestimate the first slider. Check your call log before you set it.

/ Before you ask

Questions people actually ask.

Does it work with my existing number?
Yes. It reacts to the missed-call event; the number stays yours and nothing changes for people who reach you normally.
What about landline callers?
They cannot receive a message, so those get flagged for a human callback rather than disappearing into the log.
Will it call people back automatically?
No. It messages. Robocalling people is a fast way to lose trust and to fall foul of DND rules.
What if they just want to talk to a person?
The message makes that obvious and easy. Some callers will always want a voice, and forcing them through a bot is worse than the missed call was.

/ The other agents

They hand off to each other.

Six specialists, one system, and none of them named after the model they run on — because that part gets replaced, repeatedly, and what they do for your business does not change when it does. Moving you onto the better one is the monthly Run’s job, not yours.
